Privacy notice
Last updated 23 October 2026
This notice explains what happens to the details you give us, mainly through the "Get in touch" form on this website. We keep it short and only collect what we need to reply and give you a quote.
Who we are
Arby Window Cleaning is run by Rob Barker, a sole trader based in Kidlington, Oxfordshire. Rob is responsible for your information (the "controller"). You can contact him at rob@arbywindows.co.uk, on 01865 621616, or on WhatsApp on 07570 798291.
What we collect and why
When you send an enquiry we collect your name, phone number, email address, address, property type, the services you're interested in, any access issues, how you heard about us, and anything else you choose to tell us. We use this to reply to you, arrange a visit and give you a quote. If you become a customer, we use your details to book your cleans, message you the day before each visit and send you payment details.
We never sell your details. If you're a customer, or you've asked us for a quote, we may now and then tell you about our own services and offers, such as gutter clearing. You can say no when you fill in the form, and ask us to stop at any time.
Our lawful basis
We use your details because you've asked us for a quote or a service, so we need them to take the steps you've asked for before (and during) a contract with you. For bookkeeping we also have a legal obligation to keep records of work and payments. Telling customers and people who've asked for a quote about our own similar services is in our legitimate interests, and you can opt out at any time.
Who else handles your details
We use a few trusted companies to run the website and our email. They only act on our instructions:
- Google (Google Workspace), for our email.
- Cloudflare, which hosts this website, runs the spam check on the form (Turnstile) and counts visits without cookies (Web Analytics).
- Resend, which sends your enquiry from the website to our inbox.
- Our booking software, where we keep customer records and arrange visits once a quote has been booked.
Some of these companies may handle data in the United States. When they do, they're covered by the UK's data bridge with the US, or by the standard contract clauses approved for UK data.
Website statistics and cookies
We count visits to the website to see which pages are useful. This uses Cloudflare Web Analytics, which doesn't use cookies, doesn't track you across other sites and only gives us totals. The spam check on the form may use technology that's strictly necessary to tell people from bots. If you'd rather not be counted, a browser setting or extension that blocks analytics will stop it, or just let us know.
How long we keep your details
Enquiries are kept in our email. If we arrange to give you a quote, your details also go into our booking software. If an enquiry doesn't lead to any work, we delete it after 2 years. The website also keeps a backup copy of each enquiry for 12 months, in case an email goes astray. If you become a customer, we keep your details while we're working for you, and our records of work and payments for as long as HMRC requires (usually six years).
Your rights
You can ask us for a copy of your details, ask us to correct or delete them, or object to how we use them. Just contact Rob using the details above. We'll reply within one month.
Complaints
If you're unhappy with how we've handled your details, please tell us first and we'll put it right where we can. We'll acknowledge your complaint within 30 days. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.
